Privacy policy

This Privacy Policy describes how Scribe LLC, a Minnesota limited liability company ("Scribe," "we," "us," or "our"), collects, uses, shares, and protects information about you when you access or use our AI-powered content generation platform at scribeai.one (the "Service").


By using the Service, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, please do not use the Service.


Data Controller. For purposes of applicable data protection laws (including the EU and UK General Data Protection Regulation), Scribe LLC is the data controller of personal information processed through the Service.

Information we collect

2.1 Information You Provide to Us


  • Account Information: name, email address, password (stored in hashed form), and profile details.

  • Payment Information: billing name, billing address, and payment card details. Payment card details are collected and processed by our payment processor, Stripe, Inc., and are not stored by us. We receive only limited payment metadata (such as the last four digits of your card).

  • Content Data: prompts and inputs you submit ("Inputs"), content generated in response ("Outputs"), saved drafts, and content history.

  • Communications: information you send to us when you contact support or otherwise communicate with us.

2.2 Information Collected Automatically


  • Usage Data: pages visited, features used, clickstream data, session duration, and interaction events.

  • Device and Technical Data: IP address, browser type, operating system, device identifiers, and language preferences.


Cookies and Similar Technologies: we use cookies and similar tracking technologies to operate, secure, and analyze the Service. See Section 9 for more.

2.3 Information from Third Parties


We may receive information about you from third parties, including payment processors, authentication providers, and analytics services.

How we use your information

We use the information we collect for the following purposes:


  • Provide and Operate the Service: authenticate you, deliver features, generate content, and maintain content history.

  • Process Payments: bill you, process refunds if applicable, and prevent fraud.

  • Communicate with You: send service-related notices, transactional emails, security alerts, and (with your consent where required) marketing messages.

  • Improve the Service: analyze usage patterns and measure performance to improve features and user experience. We use only aggregated and anonymized data that does not identify you for these purposes.

  • Safety and Security: detect and prevent fraud, abuse, and violations of our Terms of Service; investigate security incidents; enforce our rights and policies.

  • Legal Compliance: comply with legal obligations, respond to lawful requests from authorities, and establish or defend legal claims.


Legal Bases (EU/UK Users). If you are located in the European Economic Area or the United Kingdom, we process your personal information based on the following legal bases: (a) performance of a contract (providing the Service you request); (b) our legitimate interests (improving, securing, and promoting the Service), provided these are not overridden by your rights; (c) your consent (for certain uses, which you may withdraw at any time); and (d) compliance with legal obligations.

AI Processing

4.1 Third-Party AI Providers.


Our Service uses third-party AI providers, including Anthropic, PBC, to generate Outputs in response to your Inputs. When you submit an Input, it is transmitted to these providers for processing. Providers process data according to their own terms and privacy policies, which we review before engaging them. Anthropic is contractually prohibited from using submitted content to train its models in the configuration we use, except as permitted by applicable law (for example, for safety and abuse monitoring).

4.2 No Training on Your Content.


We do not use Your Content to train Scribe's own AI models. We do not sell Your Content or permit third parties to use Your Content to train AI models.

4.3 Aggregated Analytics.


We may analyze Inputs and Outputs in aggregated and anonymized form (that does not identify you) to monitor abuse, evaluate service quality, and understand usage trends.

How We Share Your Information

We do not sell your personal information. We share information in the following limited circumstances:


  • Service Providers: with vendors who help us operate the Service, including hosting providers, payment processors (Stripe), AI providers (Anthropic), analytics providers, and customer support tools. These providers are bound by contract to use personal information only as directed by us and to protect it.


  • Legal Requirements: when we believe disclosure is required to comply with applicable law, legal process, or lawful government request, or to protect the rights, property, or safety of Scribe, our users, or others.


  • Business Transfers: in connection with a merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or similar transaction, provided that the recipient honors commitments consistent with this Privacy Policy.


  • With Your Consent: for any other purpose disclosed to you and to which you consent.

International Data Transfers

We are based in the United States, and the personal information we collect may be processed in the United States or other countries where our service providers operate. These countries may have data protection laws different from those of your country of residence.


If you are located in the European Economic Area, the United Kingdom, or Switzerland, we rely on appropriate safeguards to protect personal information transferred outside these regions, such as the European Commission's Standard Contractual Clauses and the UK International Data Transfer Addendum, where applicable.

Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. Specifically:


  • Account Information: retained while your account is active, and for up to 90 days after account deletion, then deleted or anonymized, except where longer retention is required by law.


  • Content Data (Inputs, Outputs, drafts): retained while your account is active, and deleted within 30 days of account deletion, unless you request earlier deletion.


  • Usage and Technical Data: retained in identifiable form for up to 24 months, and thereafter in aggregated/anonymized form indefinitely.


  • Payment and Transaction Records: retained as required by tax, accounting, and financial regulations (typically up to 7 years).

Your rights

Depending on your location, you may have the following rights with respect to your personal information:


  • Access: the right to request a copy of the personal information we hold about you.

  • Correction: the right to request correction of inaccurate or incomplete information.

  • Deletion: the right to request deletion of your personal information, subject to certain exceptions.

  • Portability: the right to receive your personal information in a structured, commonly used, machine-readable format.

  • Objection and Restriction: the right to object to, or request restriction of, certain processing of your personal information.

  • Withdrawal of Consent: where processing is based on consent, the right to withdraw consent at any time.

  • Non-Discrimination: we will not discriminate against you for exercising your rights.


To exercise any of these rights, email us at hello@scribeai.one. We may need to verify your identity before responding. We will respond within the timeframe required by applicable law (typically 30 to 45 days).


EU/UK Users. If you are in the EU or UK and believe we have not handled your personal information appropriately, you have the right to lodge a complaint with your local data protection authority.


California Users. California residents have specific rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), including the rights to know, delete, correct, and opt out of sale or sharing. Scribe does not sell or share personal information for cross-context behavioral advertising as defined by these laws.

Cookies and Tracking Technologies

We use cookies and similar technologies (such as local storage) to operate the Service, remember your preferences, authenticate sessions, and analyze usage.


Types of Cookies We Use:


  • Essential Cookies: required for the Service to function (e.g., login sessions).

  • Functional Cookies: remember your preferences and settings.

  • Analytics Cookies: help us understand how users interact with the Service.


You can control cookies through your browser settings. Disabling essential cookies may affect the functionality of the Service. Where required by law, we will request your consent before placing non-essential cookies.

Security

We implement reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, disclosure, alteration, and destruction. These measures include encryption in transit (TLS), secure authentication, access controls, and regular security reviews.


No system is completely secure. We cannot guarantee the absolute security of information transmitted to or from the Service. If we become aware of a data breach affecting your personal information, we will notify you and relevant authorities as required by applicable law.

Children's Privacy

The Service is not directed to, and we do not knowingly collect personal information from, children under the age of 13 (or the minimum age applicable in your jurisdiction, which may be higher). If you believe that we have collected personal information from a child under the applicable age, please contact us at hello@scribeai.one and we will take steps to delete it.


Users between 13 and 17 may use the Service only with the consent of a parent or legal guardian, who agrees to be bound by our Terms of Service on their behalf.

The Service may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before providing any personal information.

Do Not Track

Some browsers offer a "Do Not Track" signal. Because there is no industry standard for interpreting these signals, we do not currently respond to them. We describe our practices transparently in this Privacy Policy to help you make informed choices.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or by posting a notice in the Service before the changes take effect. The "Effective Date" at the top indicates when this Policy was last revised. Your continued use of the Service after the Effective Date constitutes your acceptance of the revised Policy.
